Track HVAC bid addenda before final submission
Build a receipt-to-acknowledgment register so a late buyer-issued change does not disappear between estimating and bid release.
Receipt, scope review and acknowledgment are three different states.
Editorial workflow guide · AI-assisted preparation · Not a hands-on product test. How we work
Create one row for each issued addendum
A clarification log asks questions; an addendum register records buyer-issued changes and whether the bid team addressed them. Start with the buyer identifier, issue date, file name, received time, source channel and affected proposal sections. Preserve the original document. Assign a coordinator to reconcile the register with the buyer’s designated source before final release; do not let an AI summary become the authoritative issue list.

Separate review from acknowledgment
In a fictional tender, addendum 2 changes a visit schedule while addendum 3 replaces an equipment schedule. The estimator might finish pricing addendum 2 but still be waiting on technical review of addendum 3. Record received, reviewed, incorporated and acknowledged separately, with a named person and evidence for each. A checked inbox message is not proof the submission acknowledges the change. Follow the buyer’s stated procedure rather than inventing a universal acknowledgment form.
Use AI for a bounded comparison
Give an approved assistant the register and sanitized excerpts with stable document labels. Ask it to list explicit changes, possible affected bid sections and unresolved references. Require a citation to the supplied page for every proposed change. Manually compare quantities, dates and exceptions against the originals, especially scans and tables. If an addendum refers to a missing attachment, retain that gap instead of asking the model to reconstruct it. NIST describes confabulation risk; the register design here is an editorial suggestion, not a required industry process.
Close the release loop
Before submission, have the release owner compare the final proposal, acknowledgment field and register. Record the exact artifact submitted and submission receipt without overwriting the source documents. If a later issue arrives, reopen affected rows and identify what must be reviewed again. Stop release when an unresolved change could invalidate the prepared response; escalate through the company’s existing bid authority. This workflow has not been tested on a customer tender and does not interpret contractual obligations.
Release checklist
- Reconcile issue numbers against the buyer’s designated source.
- Name the reviewer for each affected scope section.
- Compare acknowledgment with the actual submitted artifact.
A prompt to adapt
Using only the labeled addenda and register below, identify explicit changes and affected proposal sections. Cite supplied pages, preserve missing references and separate receipt from review and acknowledgment. Do not invent requirements.
