Review approved HVAC consumables replenishment with AI

Build a draft reorder exception sheet using supplied min/max rules, usable stock, confirmed inbound quantities and pack constraints.

THE PRACTICAL TAKEAWAY

Keep the stock-position rule and order approval separate; a draft replenishment quantity is not a purchase order.

Editorial workflow guide · AI-assisted preparation · Not a hands-on product test. How we work

Use an approved item and stock rule

Choose one consumable whose exact item specification and stocking policy are already approved. Collect location, usable on-hand quantity, confirmed inbound quantity, allocations, units per pack, minimum, maximum and the policy’s trigger rule. AI can assemble a review sheet; it must not select equipment, substitute parts or invent reorder levels.

State what each quantity includes. If an inbound shipment is already counted in usable stock, including it again inflates availability. If the policy does not define allocations or the trigger at equality, ask the inventory owner instead of applying a generic industry rule. Keep damaged or unverified stock separate from usable stock.

Test a fictional threshold and pack exception

For this fictional policy only, stock position equals usable on-hand plus confirmed inbound minus allocations, and replenishment triggers strictly below 10 units toward a maximum of 24. With seven usable, five inbound and two allocated, position is 10, so the stated below-10 trigger does not fire. A different policy might treat equality differently; the rule controls the answer.

In a second case, five usable plus two inbound minus three allocated gives position four. Reaching 24 requires 20 units. If ordering is restricted to packs of six, rounding up requires four packs, or 24 units, bringing the position to 28. Flag that maximum/pack conflict for the owner instead of silently approving an overshoot or assuming partial packs can be bought.

Review the proposal before purchasing action

Check item identity, stock timestamps and confirmed inbound references with the inventory owner. Independently verify arithmetic and confirm whether the approved rule permits any pack-related exception. Link the proposal to the actual purchasing review rather than treating the spreadsheet as an order authorization.

ServiceTitan documents template-based min/max replenishment in an inventory workflow, but module behavior and availability must be verified for the actual account. This illustrative worksheet does not reproduce a vendor’s calculation. The assistant should not create purchase orders, move stock, change min/max settings or contact suppliers. Pilot with fictional threshold, double-counted inbound and pack-conflict cases, measuring false triggers and missed exceptions instead of claiming reduced stockouts without operating evidence.

Review checklist

  • Use approved specification and location-specific rules.
  • Avoid counting inbound stock twice.
  • Test threshold equality and whole-pack effects.
  • Keep order creation with the authorized purchasing owner.

Source context and limits

ServiceTitan’s referenced inventory documentation describes min/max templates in that workflow. Our fictional review arithmetic is independent of product behavior and does not establish the configuration or capabilities of a commercial HVAC account.

A prompt to adapt

Apply only the supplied stock-position and trigger rules to this approved consumables snapshot. Show usable/inbound/allocated quantities, source dates, position, trigger result, target quantity, whole-pack proposal and conflicts. Do not invent min/max levels, assume partial packs, substitute items, order or update stock.

Use fictional or anonymized examples while testing. Add your approved business rules before using a draft.
