Review duplicate commercial HVAC customer and location records with AI
Build a review queue for ambiguous billing customers and service locations before an authorized administrator changes CRM records.
Similar names are a reason to inspect records, not permission to merge them.
Editorial workflow guide · AI-assisted preparation · Not a hands-on product test. How we work
Keep the billing party separate from the work site
Commercial accounts often have shared billing addresses and several service properties. A name-only duplicate search can collapse legitimate records. Start with a permitted export containing stable customer and location IDs, business names, billing and service addresses, parent relationships and record timestamps. Exclude payment credentials and unrelated personal notes.
ServiceTitan distinguishes financially responsible customer records from physical service locations. Use that distinction when designing your review table even if your own CRM uses different labels. Ask AI to suggest candidate pairs for inspection, keeping every original ID intact. Do not ask it to return a cleaned master list that silently removes records.

Explain why each pair needs review
Give each pair a reason such as same service address with a spelling variation, identical account ID across exports, or shared phone but different location. Include differences and missing evidence beside similarities. The result should offer separate, possible duplicate or insufficient evidence as review labels, with no automatic write action.
In a fictional portfolio, two service records share the billing company and street address but refer to Suite A and Suite B with separate equipment histories. The reviewer needs those differences, not a confident match score. Another pair might have the same location ID in two export files; that suggests repeated export rows, which is different from two distinct live CRM records needing a merge.
Resolve through the authorized record owner
Have the administrator inspect related jobs, agreements, contacts and billing implications in the actual system. Keep a review decision, reviewer, evidence and intended correction in the queue. A business ownership change may require a different workflow from duplicate cleanup; do not treat every mismatch as a merge problem.
ServiceTitan documents separate record permissions and audit workflows. Confirm the correct procedure and recovery options for your account before making a change. This AI exercise stops at a reviewed recommendation. Re-export a small approved sample after any authorized correction and compare IDs and relationships to the review log. That follow-through checks the specific change; it is not evidence that all similar-looking records are now accurate.
Review checklist
- Retain stable source IDs and both address types.
- List differences as well as matching fields.
- Separate repeated export rows from duplicate live records.
- Require an administrator decision before record changes.
- Check related history and audit the approved correction.
Source context and limits
ServiceTitan documentation supports the customer/location distinction and the existence of permission-controlled record-management tools. Candidate matching, review labels and the fictional example are our proposed process; no automated merge capability or account access is claimed.
A prompt to adapt
Inspect these permitted customer/location rows for possible duplicates. Return both source IDs, matching evidence, conflicting evidence, missing fields, suggested review label and question for the administrator. Preserve billing/service distinctions. Never merge, delete, change parent relationships or invent missing contacts.
