Expose freight and minimum-order assumptions in HVAC estimates
Build a shared-charge worksheet so bundled purchasing does not hide costs or count the same delivery charge twice.
Assign each shared charge once using an approved basis, then reconcile the estimate total.
Editorial workflow guide · AI-assisted preparation · Not a hands-on product test. How we work
Separate item costs from shared charges
A supplier quotation may include item prices, freight, order minimums and conditional charges. Keep those separate before asking an assistant to summarize it. Record whether the source describes one order, several deliveries or a conditional waiver. Preserve the quotation date and exclusions. Do not assume a displayed free-shipping statement applies to the actual job, destination, timing or equipment; the estimator must confirm applicable terms with the existing supplier process.

Use an explicit fictional allocation
Suppose approved material groups cost $600 and $400, and the verified shared delivery charge is $100. If the estimator approves allocation by material value, the shares are $60 and $40. The reconciled total is $1,100. Adding $100 to each group would produce $1,200 and count freight twice. This example illustrates arithmetic only; value-based allocation is not necessarily your company’s required costing method.
Handle order changes as a new decision
A delayed line may turn one planned delivery into two. A returned item may affect a minimum-order condition. Flag the changed assumption and ask the estimator to determine the new charge rather than letting the model reuse an old allocation. Keep original and revised supplier evidence linked. If the cost remains unresolved, show a dependency in the internal estimate review; do not silently omit it to make the total look complete.
Use AI to check reconciliation
Give the assistant sanitized line items and the approved allocation rule. Ask it to show the base, shared charge, allocated amount and total for each group, plus any unallocated balance. Independently recalculate the numbers and check rounding. A model cannot verify the supplier’s current freight terms from an old attachment. This proposed worksheet is distinct from pack-size rounding: it deals with costs shared across lines. It is not accounting advice or a claim of improved estimating margin.
Release checklist
- Identify each charge’s source and condition.
- Reconcile allocated shares to the shared-charge total.
- Reopen review when the delivery assumption changes.
A prompt to adapt
Reconcile these fictional estimate groups and shared delivery charges using only the approved allocation basis. Show the full total, rounding balance and unresolved supplier conditions. Never count a shared charge twice.
