Show survey coverage gaps in a multi-site HVAC proposal

Use a sampled-versus-unvisited location map so observations from one building do not become invented facts about the whole account.

THE PRACTICAL TAKEAWAY

A representative site is still one observed site, with an explicit limit on what it supports.

Editorial workflow guide · AI-assisted preparation · Not a hands-on product test. How we work

Make coverage visible

A multi-property opportunity may begin with a visit to only a few locations. Build a location list before drafting a portfolio summary. For each site record visited, documents only, customer statement only or not reviewed; include source date and reviewer. Keep the evidence label alongside any observation. A polished AI-generated account overview should not make unvisited sites sound inspected or turn a buyer’s estimate into a verified equipment count.

Work a fictional coverage example

Suppose an opportunity contains twelve properties and the team has visited three. Report three of twelve visited, or 25 percent, as coverage of locations—not 25 percent of equipment, floor area or risk. If the three visits contain different building types, preserve those differences rather than averaging them into a standard site. List what selection information the buyer supplied. Do not claim the sample is statistically representative without a qualified basis.

Draft a gap map with AI

Provide approved location identifiers and evidence rows. Ask for a map of observed facts, site-specific unknowns and proposed information requests. Require every statement to point to a supplied location and source. Check whether the assistant multiplied one site’s inventory across the portfolio or copied an access assumption to a different building. The account owner should review the proposed questions before using them; no live customer inquiry is necessary for an initial fictional exercise.

Tie uncertainty to the commercial next step

Identify which missing facts prevent a reviewed scope or price, which can be addressed by existing documents and which require an authorized further survey. Keep technical assessment and survey design with the appropriate staff. If the buyer asks for a portfolio-level figure, show the approved assumptions and decision limits instead of concealing incomplete coverage. Retain the gap map with the proposal review packet. This proposed method does not establish site condition, a valid sampling plan, energy savings or maintenance requirements.

Release checklist

  • Check the numerator and denominator of coverage.
  • Keep visited locations separate from document-only reviews.
  • Escalate pricing dependencies before proposal release.

A prompt to adapt

Map these approved locations by evidence coverage. Cite each supplied location source, flag extrapolations and list missing information. Do not copy observations between sites or describe the sample as representative.

Use fictional or anonymized examples while testing. Add your approved business rules before using a draft.
