Build an HVAC customer PO and invoice handoff checklist
Find missing customer purchase-order references, billing contacts and supporting records before an invoice reaches the wrong approval route.
Resolve routing and reference gaps with the account owner; AI should not approve charges or alter financial records.
Editorial workflow guide · AI-assisted preparation · Not a hands-on product test. How we work
Separate the customer’s PO from your supplier orders
Commercial jobs can involve both a customer purchase-order reference authorizing their purchasing process and supplier orders used by your own company. Those are different records with different owners. Label them explicitly in the handoff so an extracted PO number is not matched to the wrong party.
Collect the customer entity, service location, accepted scope, customer-provided billing instructions, work record references and the invoice-preparation owner. Use approved records only. Remove bank details, card numbers and unnecessary personal information before any AI review. This guide covers administrative completeness, not accounting or payment authorization.

Let’s build a business together.
Build an exception list rather than changing an invoice
Have AI compare the handoff packet with your office’s required fields: customer PO when applicable, billing entity, approved recipient or portal, work-order references, supporting attachments and any documented customer approval step. Each missing item needs a source question and a person who can resolve it.
Do not infer that an invoice is payable because it has a PO number. Do not create missing numbers, alter terms, calculate tax treatment, or approve a charge. ServiceTitan’s purchasing documentation concerns operational purchasing records; a customer’s invoice-routing requirements must still come from that customer and your authorized finance process.
Use a fictional mismatch to test the workflow
Suppose a completed service job belongs to Building B, but the handoff carries an old PO for Building A. The useful output is a location mismatch with both source references, assigned to the account owner for clarification. It is not a suggestion to reuse the number so the invoice can be sent quickly.
When a property manager gives revised billing instructions, verify them through the established customer process before updating records. An AI-generated summary of an email should not be the only evidence for changing payment details or rerouting sensitive financial documents.
Review exceptions before the next billing handoff
Pilot the checklist on a small set of anonymized completed jobs. Compare the flagged gaps with the billing team’s actual findings: wrong entity, missing reference, unavailable attachment or incorrect recipient. Track false flags and review effort, not just the number of items found.
Keep a dated resolution note for each corrected field. The finance owner still prepares and releases the invoice using the normal controls. A reliable handoff helps sales and service teams answer billing questions without claiming that AI has validated the underlying debt or guaranteed faster payment.
PO and billing checklist
- Customer PO references are separated from supplier orders.
- Billing entity and service location match the approved records.
- Missing references or documents have named resolution owners.
- Recipient or payment-detail changes use the established verification process.
- Finance approves and releases the invoice; AI does not alter records.
A prompt to adapt
Review this anonymized HVAC billing handoff against our required-field checklist. Distinguish customer PO from supplier purchase orders. Flag entity, location, reference, recipient and attachment mismatches with evidence and owners. Do not invent PO numbers, approve charges, alter terms, handle bank details or change invoice records.
