Track commercial HVAC submittal review comments with AI
Create an administrative response register that preserves reviewer wording, document revisions and unresolved technical decisions.
A response marked drafted is not a technical approval or permission to purchase equipment.
Editorial workflow guide · AI-assisted preparation · Not a hands-on product test. How we work
Keep the task administrative
Use the approved submittal inventory and actual reviewer comments to create a coordination register. Record project ID, document/revision, comment reference, reviewer wording, assigned technical owner, proposed administrative next step and response status. Keep technical interpretation with the responsible project professionals.
This differs from an RFP compliance matrix: the output tracks responses to comments on a specific submitted package after the initial proposal work. AI should not select substitute equipment, infer design acceptance or decide whether a reviewed document satisfies project requirements.

Work a fictional revision mismatch
A reviewer comment refers to sheet M-2 revision B, but the available response draft cites revision A. Flag the mismatch and ask the document owner to locate the correct version. Do not reconcile the technical content by guessing which version the reviewer intended. Preserve both references until a person resolves the discrepancy.
Use independent states for comment captured, owner assigned, response drafted, technical review complete and authorized submission recorded. A polished response can still be technically unreviewed. Avoid treating a closed internal task as evidence that the external reviewer accepted the response.
Check the package before authorized submission
Have the project owner verify every comment reference and the technical owner review the actual response. Separate an acknowledgement from a resolution. If an answer depends on manufacturer confirmation or another project participant, retain the dependency and named owner instead of filling the answer with confident prose.
The authorized person controls portal uploads, formal responses and any procurement release. Retain the actual submitted version and later reviewer disposition. Test the register on fictional examples with a missing sheet, duplicated comment and conflicting revision. Judge success by accurate traceability and fewer missing responses, not by the number of comments automatically marked closed.
Review before use
- Preserve exact comment and revision references.
- Separate drafted, reviewed, submitted and accepted states.
- Keep technical answers with qualified owners.
- Never infer equipment approval or procurement release.

A prompt to adapt
Build an administrative submittal-comment register from these approved records. Return document/revision, exact comment reference, owner, draft state, unresolved dependency and next question. Flag revision conflicts. Do not answer technical questions, declare acceptance, select equipment or submit anything.
Use fictional or anonymized examples while testing. Add your approved business rules before using a draft.Source documents
