Use buyer-stated criteria to review an HVAC bid response

Prepare a response-evidence matrix without inventing the buyer’s priorities or treating an internal score as a win prediction.

THE PRACTICAL TAKEAWAY

Use explicit buyer weights; mark every internal assumption as internal.

Editorial workflow guide · AI-assisted preparation · Not a hands-on product test. How we work

Separate requirements from scoring

Start with the buyer’s published selection criteria and required submission items. A required certificate is not automatically a weighted differentiator, and an internal priority is not a buyer preference. Record the exact criterion, supplied weight if any, source and the proposal section intended to address it. If the buyer provides no weights, leave that field empty rather than letting AI produce plausible percentages.

Use a transparent internal example

In a fictional bid, the buyer explicitly lists price at 40 percent, service approach at 35 percent and transition at 25 percent. An internal reviewer uses a declared zero-to-five preparation scale and assigns 4, 3 and 2. The weighted internal score is 3.15 out of 5: 1.60 plus 1.05 plus 0.50. It measures that reviewer’s preparation judgment, not the buyer’s actual evaluation, probability of winning or correctness of the response.

Find unsupported response claims

Have an assistant match supplied proposal excerpts to each stated criterion and identify evidence gaps. A claim that the company can support a transition needs approved operational evidence, not stronger adjectives. Ask the model to quote the relevant internal source location and distinguish direct support from inference. Human reviewers must check all matches; a fluent paragraph can still answer a different question. Keep confidential competitor information outside the exercise.

Improve evidence rather than gaming a score

Use the matrix to direct the next review: confirm a promised service process, supply a requested reference through approved channels or resolve an unclear requirement with the bid owner. If weights or criteria change, preserve the previous calculation and source. Do not rewrite technical scope or commercial commitments simply to improve an AI-generated score. This is a proposed preparation aid; it does not predict award outcomes, replace compliance review or establish the buyer’s private decision process.

Release checklist

  • Verify weights total 100 percent when supplied as a complete set.
  • Check each response against its cited evidence.
  • Keep internal preparation scores out of customer claims.

A prompt to adapt

Map the supplied HVAC response to the buyer’s explicit criteria. Preserve stated weights, leave absent weights blank and show source-backed gaps. Any internal rating must be labeled as preparation judgment, never win probability.
