Customer retention

Prepare a commercial HVAC account review from service evidence

Build a customer meeting agenda from approved agreement, visit and issue records while keeping internal margins out of the customer-facing brief.

THE PRACTICAL TAKEAWAY

Use the account review to resolve service questions and agree next steps; do not turn every service visit into an upsell claim.

Editorial workflow guide · AI-assisted preparation · Not a hands-on product test. How we work

Choose a period and reconcile the records

Begin with a defined review period, customer entity, covered locations and agreement references. Gather authorized visit records, completed-work summaries, unresolved customer issues and the prior meeting’s action list. Distinguish the date work happened from the date a note was entered. Exclude duplicate or unmatched records from totals until the office resolves them.

The aim is a conversation about the customer’s experience, not a recital of every invoice. Ask AI to group the evidence into delivered work, open issues, decisions needed and items to verify. Keep a link to the underlying record beside every factual statement.

Keep internal analysis and customer material separate

An internal preparation sheet may include cost exceptions and account-management concerns. The customer-facing agenda should contain only approved information appropriate to share. Do not paste internal labor rates, margins, unrelated customer data or employee commentary into a draft meeting deck.

ServiceTitan provides service-agreement profitability reporting, but profitability and service performance answer different questions. A financially attractive account can still have an unresolved customer concern. Have the account owner decide which issues need an operational response before considering any proposed expansion conversation.

Prepare a balanced meeting agenda

For a fictional campus account, two visits were completed and one planned visit remains unbooked. Those records do not justify saying all maintenance is complete. The agenda should identify the outstanding visit, its responsible owner and the question to resolve with the customer. A technician recommendation should remain attributed to its source rather than becoming a new AI recommendation.

Use the meeting to confirm contact changes, access windows, documented priorities and next review dates. Present possible scope changes as questions for approval. Do not invent satisfaction scores, savings achieved or a recommendation that the customer expand the agreement.

Carry decisions forward without changing history

After the meeting, create an action record with decision, responsible person, due date, customer-approved wording where relevant and source notes. Separate a requested proposal from an accepted change. Send only a reviewed summary through your normal account process.

For a pilot, measure missing actions, inaccurate statements, correction time and whether unresolved issues received owners. Compare the next review with the prior action list. A useful quarterly process leaves a clearer shared record; the existence of a meeting or an AI-generated agenda does not establish renewal intent or customer satisfaction.

Account-review checklist

  • Review period, covered sites and source records are clear.
  • Completed, planned and unresolved work are not combined.
  • Customer-facing material excludes internal cost and personnel details.
  • Claims about performance and recommendations have evidence.
  • Decisions and next steps retain owners, dates and approval status.

A prompt to adapt

Prepare an internal briefing and a separate customer-safe agenda for this commercial HVAC account review. Use the supplied period, agreements, visits and issues. Link facts to records; flag missing evidence. Exclude internal margins, rates and employee notes from the customer version. Do not invent savings, satisfaction or renewal intent.

Use fictional or anonymized examples while testing. Add your approved business rules before using a draft.
