Map commercial HVAC service agreement coverage before approval

Compare the proposed agreement with its locations, equipment and planned visits so unresolved coverage questions reach the right reviewer.

THE PRACTICAL TAKEAWAY

A coverage map should expose ambiguity, not declare that every asset or requested service is included.

Editorial workflow guide · AI-assisted preparation · Not a hands-on product test. How we work

Choose the agreement version that will be reviewed

Before comparing coverage, identify the proposed agreement, its version, the applicable locations and the asset register supplied by the customer or your team. Keep the proposed document separate from an active agreement. A draft renewal with similar wording is not automatically the current scope.

This workflow addresses preparation before approval, not the timing of renewal outreach. Use a row per location and equipment item where appropriate, with a reference to the scope section that describes the planned service. Unknown equipment ownership or an unmatched asset is an open question, not a reason to silently expand the agreement.

Compare coverage in a small set of columns

Record location, asset identifier, service description, planned visit or frequency as explicitly stated, exclusions, source reference and reviewer. Ask AI to identify missing references, conflicting terms and units that appear in the asset list but not in the proposed coverage. Preserve the distinction between not listed and explicitly excluded.

ServiceTitan’s scope-of-work documentation describes planned visits and their relationship to locations and equipment. The map here is a proposed review aid. It does not establish what a contract legally covers, alter billing treatment or authorize a change in the customer’s service commitments.

Handle an ambiguous asset without adding a promise

In a fictional two-building proposal, Building A lists five units in the asset register while the agreement names four. The discrepancy could reflect a duplicate record, a customer-owned exclusion, or an omission. AI should return the unmatched identifier and its references so the agreement owner can ask the right question. It should not add a fifth unit to the price or delete it from the register.

Keep customer-requested alternatives in a separate revision queue. If the reviewer changes the scope, retain the previous version and route the new document through the same approval process before presentation.

Review a sample before using the map broadly

Have the service manager trace a sample of rows back to the proposed agreement and asset records. Check whether the tool invents frequencies, collapses similar units, or treats a vague service description as unlimited coverage. Require a resolved status or an explicit hold for each issue that affects the proposal.

Track discrepancies found, false flags and the time needed for review. The useful outcome is a clearer agreement conversation and an auditable scope record. It is not a claim that an AI comparison provides legal assurance or eliminates the need to review the actual document.

Coverage-map checklist

  • Proposed agreement version and asset-register date are identified.
  • Locations and units map to actual scope references.
  • Unlisted, excluded and unresolved items remain different states.
  • No automatic price, frequency or commitment changes.
  • Agreement owner approves corrections before customer presentation.

A prompt to adapt

Compare this approved asset register with this proposed HVAC service agreement. Build rows for site, asset, stated service/visits, exclusions, document reference and unresolved discrepancy. Distinguish unlisted from excluded. Do not interpret legal coverage, infer frequencies, alter pricing or change active agreements.

Use fictional or anonymized examples while testing. Add your approved business rules before using a draft.
