Confirm critical numbers in HVAC call transcripts before handoff
Prepare a confirmation queue for uncertain addresses, unit labels, callback numbers and dates without letting AI silently repair them.
A plausible number is not a verified number; preserve uncertainty when the source does not support one clear value.
Editorial workflow guide · AI-assisted preparation · Not a hands-on product test. How we work
Choose the fields that need exact confirmation
Define the critical fields for the office task before reviewing a transcript: property number, suite, callback number, equipment label and requested date or time as appropriate. Use only recordings or transcripts authorized for this purpose and the minimum necessary information in an approved tool. Follow the organization’s existing call-handling procedures.
Ask AI to extract exact stated values with source passages or timestamps and mark ambiguous alternatives. This is a narrow handoff quality check, not a transcript rewriting service or permission to process every call. Keep urgent-call handling and equipment diagnosis with the established human process.

Preserve ambiguity in a fictional call
A fictional transcript records the caller’s suite as B-15 in one passage and B-50 in another. The assistant should retain both references and ask for confirmation. It must not select B-15 because that value appears in an old customer record. Historical information can support a reviewer’s question, but it does not resolve what the caller currently meant.
Similarly, if a caller corrects a callback number, show the correction and its source rather than presenting two equally current numbers. Separate explicitly corrected, conflicting and inaudible fields. If audio access is unavailable, say that the transcript could not be checked against the recording. Do not report a listening verification that did not occur.
Close the confirmation loop before the dependent action
The responsible employee checks the authorized source or confirms the field through the normal customer process. Record the confirmed value, method, reviewer and date in the appropriate system. Keep the uncertain extraction as a draft until the necessary confirmation is complete; do not automatically book a visit, update a property or send a callback to a guessed number.
Build fictional tests containing a spoken correction, two conflicting suites, an incomplete phone number and a date without a clear month. Compare exact-field accuracy and the assistant’s willingness to leave a value unresolved. A fluent summary is not the success metric. Review false corrections and unnecessary escalation separately so the queue stays useful without hiding uncertainty.
Release checklist
- Identify critical fields before extraction.
- Keep exact source references and competing values.
- Distinguish corrections from unresolved conflicts.
- Record actual verification before dependent record changes.
Source context and limits
NIST provides general context on unreliable generated output. This exact-field confirmation process is our proposed office method, not a guarantee of speech-recognition accuracy or guidance about recording permission.
A prompt to adapt
Extract the supplied critical fields from this authorized transcript. Return exact stated value(s), passage/timestamp, explicitly corrected or conflicting or inaudible state, and confirmation question. Do not fill digits from context, choose a historical address, claim audio review, change records, book or contact anyone.
