Calls & booking
Create a consistent HVAC lead intake checklist
Collect the details your office needs to route inquiries without turning intake into technical diagnosis.
Use a short, consistent intake record that leads to a clear next action.
Editorial workflow guide · AI-assisted preparation · Not a hands-on product test. How we work
Choose the minimum useful information
An intake form should help the office decide what to do next. Start with contact name, preferred callback method, service address, service requested, existing-customer status, and a short description in the customer’s own words. Add only the fields your team uses to route the request.
Avoid making callers complete a long questionnaire before they can speak with someone. If a field is optional, label it clearly. Your office can collect equipment details later when that information is necessary and the customer can provide it accurately.
Use AI to structure a description
AI can convert free-text notes into a consistent format: reported concern, requested service, missing details, and suggested administrative routing. Keep the original text beside the summary. Do not let the summary turn a customer’s tentative description into a confirmed diagnosis.
Define which requests can enter normal booking and which need an office review. Examples include commercial work when you serve only residential customers, addresses outside your service area, and questions about an existing dispute. Your rules should drive the route; AI can flag an uncertainty.
Test handoffs between channels
Run the same sample inquiry through the website form, phone intake, and any chat tool. Check whether all three create compatible records. Confirm how an existing customer is recognized and how a duplicate request is merged. Every request should have an accountable owner and next action.
Include failure scenarios. If your CRM connection stops working, does the inquiry remain somewhere the office can see? If a customer leaves an incomplete address, does the system ask for clarification or silently book the wrong location? Review these cases before expanding automation.
Keep the intake process maintainable
- Publish one approved list of supported services and locations for every channel.
- Require a callback method before marking a request ready for office follow-up.
- Keep diagnosis, emergency handling, and technical promises outside the intake assistant’s authority.
- Track incomplete inquiries, duplicates, and manually corrected routes.
- Review the checklist when service areas, hours, or job types change.
A prompt to adapt
Structure these anonymized HVAC inquiry notes into an intake record. Preserve the customer’s reported concern, list missing administrative details, and identify the next office action. Do not infer a diagnosis, price, or confirmed appointment.
Use fictional or anonymized examples while testing. Add your approved business rules before using a draft.Questions or corrections?
