Use AI to prepare better HVAC estimate follow-up
Build a follow-up sequence around the customer’s actual questions without inventing discounts or promises.
Use AI to draft a relevant next message, while your CRM controls eligibility and stopping rules.

Make the estimate record usable
Before automating reminders, check that each open estimate has an owner, sent date, current status, contact preference, and agreed next step. Link the exact estimate version the customer received. If an estimate has expired or the equipment selection changed, flag it for review rather than send an old price.
Read a sample of recent follow-ups. If they all say just checking in, the first improvement is relevance. A useful message can answer a documented question about the approved scope, explain how to arrange a conversation, or confirm whether the customer still wants the project.
Separate drafting from deciding
Provide AI with the approved estimate, anonymized notes, and a clear writing brief. Ask it for a short draft that addresses one recorded question. Tell it to flag missing information and avoid inventing financing terms, savings, incentives, warranties, or installation dates. An employee should check the first batch against the source records.
Use explicit workflow rules to decide which estimates receive a message. Exclude accepted, declined, disputed, expired, or already scheduled projects. Stop the sequence when a customer replies so a human conversation does not compete with an automated reminder.
Design a modest pilot
Start with one type of estimate and a small group of eligible customers. Choose follow-up timing based on your normal sales process and the customer’s preference. A possible sequence is a receipt check, a response to the customer’s documented question, and an offer to discuss the decision. Treat that as a draft to adapt, not a universal cadence.
Measure replies and accepted projects alongside complaints and office work. Compare similar estimate types and account for seasonality. A change in acceptance rate does not prove that the AI draft caused the difference if lead sources or pricing changed at the same time.
Approve these rules before sending
- Use only the current, approved estimate and offer details.
- Honor contact preferences, opt-outs, and your existing communication requirements.
- Stop on any reply, acceptance, cancellation, or dispute.
- Route questions about technical scope, pricing exceptions, and financing to the responsible employee.
- Log the message and result against the original opportunity.
A prompt to adapt
Write a concise HVAC estimate follow-up using only the approved facts below. Address the customer’s recorded question, include one next step, and flag any missing answer. Do not invent discounts, deadlines, warranties, financing, or efficiency savings.
